Our Procurement Team works to ensure that The Donkey Sanctuary makes the best use of its resources by seeking value for money on ethical and sustainable third party spend, offering strategic advice and guidance on purchasing and supply issues, managing supply risk and providing operational support. We work with a network of UK and internationally based suppliers covering such diverse categories of spend as animal welfare, feed and veterinary supplies; utilities, building and facilities management products and services; capital equipment and projects; marketing and communication services and IT and telecoms, general administration and professional services.

We have an outstanding opportunity for a proactive and flexible individual to join the Procurement Team. Possessing demonstrable experience of working within a busy administrative role and excellent communication, interpersonal and customer service skills, you will provide full administrative support to the team and will act as first point of contact for all team enquiries, providing advice and guidance to internal and external stakeholders concerning supply agreements and contract terms.

You will develop and maintain effective internal and external stakeholder relationships, providing effective advice and support that is professional, timely and accurate. Your principal duties within this busy and demanding role will include:

• dealing with supplier enquiries and resolving issues, including continuity of supply and order problems;
• providing effective and accurate spend reports derived from spend analysis on request;
• managing the administrative elements of procurement procedures including supplier evaluation, due diligence, contract administration including the preparation of contract terms and supplier relationship management;
• assisting with the preparation of procurement documents including specifications and Requests for Quotation (RFQ);
• working within the Charity’s payments system – setting up new suppliers, raising purchase orders and processing invoices
• supporting the implementation use of electronic procurement technologies and Procurement team systems and procedures to increase operational efficiency and transparency, identifying areas for improvement within administration processes; and
• acting as the point of contact within the Procurement team for compiling staff communications for submission to the Internal Communications team and/or inclusion on the Procurement internal SharePoint site.

An understanding of procurement principles and best practice, together with the ability to handle a number of conflicting priorities and deadlines whilst maintaining a high level of accuracy and attention to detail will be essential, as are competent IT and problem solving skills, and the ability to present data clearly and develop management information and reports. Previous experience of working within a procurement environment, a knowledge and understanding of the procurement function and how it interplays with other corporate functions, and a demonstrable understanding of the importance of data security is desirable.
